In terms of data security
The software is a highly important tool for every firm. Software tools that are classified are also required for significant and highly classified material, like those found in the FBI. The organization's efforts to secure the specific data it hosts with the present software tools fall short of expectations. This necessitates the development of more sophisticated software solutions to resolve the pending minute slots. This would guarantee that the organization's data is securely stored and out of the hands of unauthorized individuals. The best move in this scenario would be to improve the current system since taking in another system would be very costly and would also consume plenty of time. The technology is so far up to date since the software tools give room for updates. The only tools that could be substituted for new ones are the hardware since the only way to update them is replacing them with new ones. All the same, not every hardware component is to be substituted. Implementing the same existing technology would also be heading up since the examiners will be associated with it at some levels even after the updates which are so unlike the new system that would mean training the inspectors from scratch. The examiners will also be able to troubleshoot some minor problems associated with the system if the management chooses to update and not change the whole system.
Paper-based processes
More paper-based processes mean that filing reports will be harder (Friedman & Kahn, 2017). The paper-based process increase the work that is to be done hence making the analysis more difficult and at some point impossible to implement. The updated system should, therefore, exclude the use of plenty of paper-based processes so as to ease the process of report filing. The reports are to be used in an analysis of how effective the software tools are in decision making. The analysis can also be used for evaluation which is critical in altering the systems that are faulty in their functioning. The evaluation can also be used to come up with better decisions as far as effectiveness is involved. The systems can be functioning as expected but still, create room for improvement regarding efficiency, and the use of evaluations notes this room.
System updates for analysis and tracking
The suggested system updates would involve the use of better technology to enhance the analysis and tracking of utilization. The system updates are to employ lesser examiners who are given more tasks but which are all system based and involve minimal paper-based processes. The examiners will be able to track massive amounts of data since the systems will be very efficient as far as multi-tasking is concerned. The analysis will also be done automatically, therefore, simplifying the whole process of reporting. The analysis will also be more accurate since it involves the use of computer systems. Once the systems are implemented and prove to be as effective as planned, paper-based processes may be permanently done away with.
Reducing costs
Having to spend a hefty $4,000,000 annually can be eradicated only if the systems are changed, and the number of examiners is reduced, and this would be effective only through the employment of an updated system. Some processes such as approval after credit card purchase should also be involved in the process. The license distribution should also be adjusted to try and cut on the costs. The main agenda of the Bureau should be to look for a system that performs all its functions without leaving behind any leaks and a system that should also cut on their annual costs.
