For Fasure conference set up, I worked with a budget of $800,000. I maintained it an actual cost of $740,000 plus $35,000 on top as my pay. The company came to me to help them in making the event easier as it arranged for its airfare out there. Most of these meetings, I arranged to be taking place from 7 am to 7 pm as a schedule of classes for a 4-day event. This schedule included a working box in every class. Also, everyday dinner will be as from 7:30 to 10:30 pm.
Here is the summary of all the evaluation positive results as received from the event participants. According to 75 percent of the participants, morning sessions were excellent and they were happy about it. The accommodation they received was acceptable and rank speaker as excellent especially on Thursday night entertainment.
Also, I have some of the negative feedback that I need to improve on next time. First, it is only 50 percent of the participants’ ranked flight booked as acceptable. Second, 92 percent complained of long afternoon lessons and with 60 percentages indicating there were no new plans or initiatives were created. More than 86 percentages did not like the idea of lacking free transport in between resort and airport. Due to the problems with the kitchen of the rented restaurant on Tuesday night, one third took fast foods and others had to leave.
After revisiting the evaluations and my notes, I came up with some suggestion for the next Fasure conference. I feel that the next to be held in a different resort that will provide all the necessary facilities. Also, reschedule 12-hours day learning and maximizing on 8-hours a day. Conclusively, I would take this as a small success as I maintained the budget and participants learned something new.
Client Evaluation
As Fasure Company you had budgeted for $800,000 from which I was to set up the conference. The company preferred the town in my locality to make easier and you were to make arrangements for the participants' airfare. My duty was to make arrangements for schedules of meetings to be held daily as you had requested. There were to be classes scheduled from 7 am to 7 pm for 4-days event together with a daily basis lunch box.
After the event, I managed we received positive responses from the client. From the sessions that you requested they were able to create new plans, initiatives, and products. They also liked the speaker that you approved and rated accommodation in the resort as acceptable. All the dinner nights were enjoyable including Thursday night entertainment.
Among the negative results include low attendance during the tennis and golf outing. Most of the attendants preferred staying at the pool. In part of suggestion as far as a future event of the company is concerned, the relevant departments should head poll participants to understand what they would prefer instead of tennis or golf. Also, we would let them have a relaxing time to unwind in the pool.
Although we came up with a good and eco-friendly idea of boxed lunch, it needs to be improved next time as it did not go well with the participants. A huge amount of it ended up in the garbage. However, in a nutshell, the event was successful as we stayed within the budget limit and the participant gained new knowledge. Though we faced some rough spots in the process, I feel the benefits outweigh the challenges and the company will be the major beneficiary of what was learned in those sessions.
