Preparation of an Open House

The first priority of the Open House


The first priority of the Open House should always be determining the target audience. This includes their age, their location, and even their expected number. Henceforth in this step, we will identify the purpose of the open house and then create a tailored guest list to fit our purpose (Coren, 2006). For our open house, we chose to invite 200 Guests to our event. They included parents and kids within a radius of 17 kilometers as this was a family-themed open house event.


Creating a Budget


Before even spending a single dime, it would be essential to outline all the costs and expenses that will be associated with the open house event (Coren, 2006). Each aspect of the event be it advertising, food, and even print works have associated expenditure. Moreover, there might be a need for extra staff workers, extra space and extra equipment hire such as cameras, sound systems and even led panels. Henceforth, the budget will have to be very inclusive of all these facets. Our budget came at $2,000 for this event.


Choosing Date and Time


This step will entail selecting the best and most convenient time for holding the event, in which all guests will be able to attend. Moreover, at this step, we will define the window time of the event, so as to enable the guests to arrive, relax and even leave at their own pleasure (Coren, 2006). We selected a Saturday afternoon for our event, as it was a time when kids and parents were free from school and work respectively.


Advertise


In order to ensure our event is attended by people, it would be essential for us to promote it. We opted for flyers, which we pinned to notice boards in schools and public places within the radius such as bus station, the church and at the park. In addition, we put a newspaper ad in the local dailies 2 weeks before the event.


In order to ensure peoples interest, we outlined the associated benefits of people attending the event. Moreover, we drew maps on all the posters to the event, to ensure people use the right directions.


Hold the Event


This will be the culmination of the preparations, whereby the guest will be finally being able to attend the open house. The expectation is that the event will go on smoothly as planned, with all the guest attending. It’s worth noting that the steps will be followed as they have been arranged above.


Model Applicable procedures to friends and family


It would be essential to ensure that our friends and families, who will be part of the guest should be accorded some special treatment.


a. Discounts: A subset of consumers such as families and friends should be afforded discount vouchers (Edelman, 2016). The assumption is that family and friends are familiar with the firm activities, hence they do require advertising effect. Henceforth, this allows the firm to practice price discrimination at the open house.


b. Theme: The importance of our friends having a specific theme during an open house cannot be understated. As a matter of fact, it would create a sense of mystique and aura around the whole open house event. We would thus advise the guests, most of who would be our friends to wear a white and black official or semi-casual look for the open house event.


Note what happened while practicing procedures. Describe what went right and what went wrong and why. While preparing the procedures, our biggest challenge was determining the expected number of guests. For instance, we had initially placed them to be around 500. However, when we did a research on the population of our vicinity, we found that our target guests would only be a maximum of 200. For this reason, we had to re-adjust the budget again, which took an extra 4 days. Apart from this, everything went right from rehearsing for the open day, getting materials and equipment’s delivered in time and in the right manner.

Bad Weather: Human mobility is usually predictable and periodic, which makes it easy for people to make timetables or event schedules (Horanont, 2013). However, weather usually has a tremendous impact on a number of phenomena pertaining to a person’s behavior and mobility as well. Henceforth, if it were to rain a heavy downpour during the planned day, the attendance would heavily be affected. People would opt to stay indoors as a mean of safety.


Lights Outage: Our Open House event will be held indoors, implying we will use artificial light. A systematic power outage during the day of the event would affect the flow of work, and consequently the revenues. It’s worth noting that whereas the US electric grid reaches more than 144 million customers. However, the US Department of Energy’s Office found out that there are usually 679 outages per day, which affects 50,000 end customers as a result (2013). This implies that there is a likelihood, however, minute it is, that there might be a power outage that day. If it were to happen, our event would stall, as the public address system, the led screens, and even the lights would be affected heavily. Moreover, the building in which the event will be hosted does not have a standby generator.


Describe the benefit of this task analysis and how it applies to classroom management. The importance of such a task analysis cannot be understated, as it helps people in identifying issues existing when it comes to classrooms and schools. This occurs when parents and even guardians attend a school open day, where they learn more about an institution. In doing so, the parents may strike up a conversation with the staff workers regarding their children and school performances.


This comes in handy in classroom management, as teachers will tell the parents the challenges or misdeeds of their children, asking them to talk or discipline their children (Muijs and Reynolds, 2012). In doing so, the students are more likely to be keen and disciplined in their subsequent classes. This leads to an upward trajectory of their performances as well.


Secondly, open houses may lead to parents and guardians identifying problems with the school management, be it teachers or the board. In doing so, they may approach the PTA, airing their grievances on how things could be improved in the classrooms (Daniels, 2010). This by either promoting or demoting teachers and other personnel, which may result in respective classrooms having better stewardship in the process.
